Terms and Conditions of Use – Azm Sport Academy Platform & App Effective Date: 06/05/2025

 

Welcome to the AZM Sport Academy platform (“Platform”) and mobile application (“App”). By accessing and using our services, you agree to the following Terms and Conditions, which govern the use of the Platform, App, and related services for both parents/guardians and enrolled children (referred to collectively as "Users"). Please read these terms carefully before proceeding.

 

1. Registration & User Eligibility

  • Use of the Platform and App requires prior registration using a valid email address.
  • Children must be registered by a parent or legal guardian.
  • Parents may also create a personal profile to manage their child’s activities, schedules, and communication with the academy.

2. Service Access & Bookings

  • Access to training sessions, classes, and events is subject to the purchase of a valid package.
  • Only after a package has been purchased will the User be able to book classes via the App or Platform.
  • Availability of classes is on a first-come, first-served basis and subject to academy capacity.

3. Payment Terms

  • All payments must be made in full through the platform before services are rendered.
  • Packages are non-transferable and non-refundable unless otherwise stated in writing by the academy management.
  • Failure to complete payment will result in restricted access to bookings and services.
  • Azm Sport Academy reserves the right to revise package pricing with prior notice.

4. Cancellations & Refund Policy

  • Booked sessions must be canceled at least 24 hours in advance to avoid session forfeiture.
  • Refunds or credits will not be issued for missed sessions unless due to academy-approved exceptions.

5. Use of Image and Media Consent

By registering with the Azm Sport Academy, parents/legal guardians grant permission for the academy to:

  • Photograph, film, or otherwise record athletes during classes, training sessions, and tournaments.
  • Use these images and recordings for promotional, marketing, and internal documentation purposes across digital, print, and social media platforms.
  • Opt-out requests must be made in writing and submitted to management prior to the start of participation.

6. Conduct and Safety

  • Users are expected to behave respectfully toward coaches, staff, and fellow participants.
  • Disruptive behavior or repeated non-compliance may result in temporary or permanent suspension from the academy.

7. Data Privacy & Security

  • All personal data collected through the App or Platform will be used solely for academy operational purposes and handled in accordance with applicable data protection laws.
  • User information will not be shared with third parties without explicit consent unless legally required.

8. Modifications to Terms

  • Azm Sport Academy reserves the right to update or modify these terms at any time. Continued use of the Platform and App constitutes acceptance of such changes.

 


Personal Training – Terms & Conditions (Cancellation & Package Validity)


  1. Minimum Notice Period
  • Any cancellation or rescheduling of a personal training session must be made at least 24 (twenty-four) hours in advance of the scheduled start time.

  1. Late Cancellations (< 24h)
  • Sessions cancelled less than 24 hours before the scheduled start time will be fully charged.
  • For packages, a late-cancelled session will be deducted from the client’s remaining sessions as if it had been used.
  • For late arrival of the client, the session will be delivered on the remain available time of the booked session.
  • Is the client responsibility to cancel or reschedule the session through the app, in case not working can contact the reception to support.
  1. No-Show Policy
  • If the client does not attend the session and does not provide any prior notice (“no-show”), the session will be fully charged and counted as used.

  1. How to Cancel or Reschedule
  • Cancellations or rescheduling requests must be made through the official communication channel agreed with the trainer/gym (app, reception).
  • The time of receipt of the message in this channel will be considered the official time of notice.
  1. Trainer Delays or Cancellations
  • If the trainer or facility needs to cancel or reschedule a session, the client will not be charged, and the session will be rescheduled or credited to the client’s account.

  1. Session Package Validity
  • Personal training sessions are sold in packages with fixed validity periods, counted from the date of the first scheduled session after purchase, as follows:
  • 4-Session Package: valid for 4 weeks
  • 12-Session Package: valid for 6 weeks
  • 24-Session Package: valid for 16 weeks
  • After the validity period ends, any unused sessions will automatically expire and will not be refundable or transferable.
  • It is the client’s responsibility to book sessions within the validity period to ensure all sessions are used.
  1. Exceptional Circumstances
  • In genuine emergency or medical situations, the gym/trainer may, at their sole discretion, extend the validity of the package or reinstate a late-cancelled session, upon presentation of reasonable proof.

  1. Acceptance of Policy
  • By purchasing or booking personal training sessions, the client acknowledges and agrees to this Cancellation, Rescheduling, No-Show and Package Validity Policy.



Sports Academies – Terms & Conditions (Packages, Bookings & Freezing Periods)


  1. Enrollment & Client Account
  2. 1.1. Enrollment in the academy requires completion of the registration form and acceptance of these Terms & Conditions.
  3. 1.2. All packages are personal and non-transferable. The client/parent is responsible for keeping contact details up to date.
  4. Packages & Validity Periods
  5. 2.1. Classes are sold in packages with fixed validity periods, counted from the date of the first available week after purchase/activation:
  • 4-Class Package: valid for 4 weeks
  • 8-Class Package: valid for 5 weeks
  • 12-Class Package: valid for 6 weeks (Plus 1 week freezing period)
  • 24-Class Package: valid for 12 weeks (Plus 2 weeks freezing period)

2.2. The validity period includes any possible freezing/hold time (see Clause 5) and does not extend beyond the end date of the package.

2.3. At the end of the validity period, unused classes automatically expire and are not refundable, not transferable and not convertible into cash or credit.

2.4. Packages and prices may be adjusted periodically; any changes will not affect packages already purchased and still within their validity.

  1. Bookings & Attendance
  2. 3.1. All classes must be booked in advance through the academy’s official booking system (app, website, or reception, as communicated by the academy).
  3. 3.2. Only athletes with a confirmed booking will be allowed to join the class. Walk-ins without booking may be refused if the class is full or if there are admin limitations.
  4. 3.3. The academy reserves the right to limit the number of athletes per class for safety and quality of coaching.
  5. 3.4. Late arrival (generally more than 10–15 minutes after class start) may result in refusal of entry for safety reasons; in this case, the class may be considered used.
  6. Cancellations & No-Shows (Group Classes)
  7. 4.1. Cancellations must be made within the minimum notice period defined by the academy (for example, 4–6 hours before class) using the official booking channel.
  8. 4.2. Cancellations made after the notice period, or no-shows (booked but the athlete does not attend), will be counted as a used class and deducted from the package.
  9. 4.3. The time of receipt of the cancellation in the system or official channel will be considered the effective time of notice.
  10. Freezing / Hold Policy
  11. 5.1. “Freezing” or “hold” means temporarily suspending bookings, not extending the expiry date of the package. The validity periods in Clause 2 already include any allowed freezing time.
  12. 5.2. Freezing may be requested only for valid reasons such as travel, injury, or medical reasons, and is subject to approval by the academy management.
  13. 5.3. Requests must be made in advance and in writing (app, email, or official WhatsApp, as defined by the academy). Retroactive freezing (after classes are missed) is not permitted.
  14. 5.4. Once the maximum time within the validity window has passed (as per Clause 2), no further freezing or extensions will be granted and remaining credits will expire at the end of the package validity.
  15. 5.5. In serious medical cases, the academy may, at its sole discretion, extend or transfer credits upon presentation of appropriate documentation.
  16. Public Holidays, Academy Closures & Class Changes
  17. 6.1. If the academy cancels a class (e.g. coach illness, event, maintenance), the session will be:
  18. - Replaced by another class, or
  19. - Credited back to the athlete’s package.
  20. 6.2. On public holidays or special events, a reduced schedule may apply. When possible, the academy will offer alternative days/times.
  21. 6.3. The academy may change class schedules, age groups or coaches as required for operational reasons; any changes will be communicated through official channels.
  22. Safety & Participation
  23. 7.1. The academy reserves the right to refuse participation if the athlete is unfit, behaving inappropriately, or not following safety instructions.
  24. 7.2. For minors, parents/guardians remain responsible for ensuring punctual drop-off/pick-up and for providing accurate health information.
  25. Acceptance of Terms
  26. 8.1. By purchasing a package, booking a class or attending the academy’s activities, the client/parent confirms that they have read, understood and agreed to these Terms & Conditions.



By using the Azm Sport Academy Platform and App, you acknowledge that you have read, understood, and agreed to abide by these Terms and Conditions.
